How to Add Checkboxes in Google Sheets

Google Sheets added native checkboxes years ago (Excel didn't get them until 2024). Click Insert → Checkbox and selected cells get a checkbox that stores TRUE or FALSE — usable in formulas, filters, conditional formatting, and everywhere else.

⚡ Quick Answer

Select the cells, click Insert → Checkbox. Each cell gets a checkbox storing TRUE or FALSE. Click a checkbox to toggle. Reference in formulas like any cell: =IF(A1, "Done", "Todo").

Method 1: Insert → Checkbox

  1. Select the target cells

Highlight all cells that should have checkboxes.

  2. Click Insert → Checkbox

Every selected cell instantly gets a checkbox. Checkboxes are unchecked (FALSE) by default.

  3. Click to toggle

Click any checkbox to check/uncheck. Cell value becomes TRUE or FALSE.

Method 2: Custom values (Yes/No, ✓/✗, etc.)

Default checkbox values are TRUE and FALSE. You can customize what checked/unchecked mean.

  1. Add checkboxes normally

    Insert → Checkbox.

  2. Right-click → Data validation

    Opens the data validation sidebar.

  3. Tick "Use custom cell values"

Under the Checkbox rule. Two text fields appear.

  4. Enter checked and unchecked values

    Examples: "Yes"/"No", "Paid"/"Unpaid", "1"/"0", "✓"/"—".

  5. Click Done

Cell now stores your custom values when toggled.

When custom values help

If your formulas or reports expect specific values ("Paid"/"Unpaid" rather than TRUE/FALSE), set custom cell values upfront. Otherwise you'd need =IF(A1, "Paid", "Unpaid") in a helper column, which is unnecessary work.

Using checkboxes in formulas

Conditional text based on checkbox

=IF(A1, "✓ Done", "○ Todo")

Count checked items

=COUNTIF(A2:A100, TRUE)

Sum values where checkbox is checked

=SUMIF(A2:A100, TRUE, B2:B100)

Percentage complete

=COUNTIF(A2:A100, TRUE) / COUNTA(A2:A100)

Common use cases

Todo list with progress

Column A: checkboxes. Column B: task descriptions. Summary cell: =COUNTIF(A2:A100, TRUE)&" of "&COUNTA(A2:A100)&" complete" shows "5 of 12 complete".

Strike-through completed tasks

  1. Select task rows

Highlight the row range with tasks.

  2. Format → Conditional formatting

    Add rule with custom formula.

  3. Custom formula: =$A2=TRUE

References the checkbox column with locked column reference.

  4. Set strikethrough

In formatting options, tick strikethrough and set text color to gray. Click Done.

Now checked tasks visually cross out and grey. Uncheck to restore normal styling.

Filter to only unchecked items

Apply a filter, click the checkbox column's filter arrow, tick only FALSE. Only incomplete items show. Great for "focus mode" on remaining tasks.

Removing checkboxes

  1. Select cells with checkboxes

    Highlight them.

  2. Press Delete

Removes both the checkbox and its value.

  3. Alternative: keep value, remove checkbox

Right-click → Data validation → click Remove rule. Cell keeps whatever value was there but no longer displays as a checkbox.

Sheets Wizard — turn checkboxes into workflows

Native checkboxes make todo lists trivial. But real workflows need "when checked, email the manager" or "when all sub-tasks done, mark parent complete." Sheets Wizard's AI can add those workflows through Apps Script — auto-generated from natural-language descriptions.

Frequently asked questions

How do I add a checkbox in Google Sheets?

Select the cells where you want checkboxes. Click Insert → Checkbox. Every selected cell gets a native checkbox that stores TRUE (checked) or FALSE (unchecked). Checkboxes work in formulas — reference them like any cell.

How do I use checkbox values in formulas in Sheets?

Checked cells contain TRUE; unchecked contain FALSE. Use them directly: =IF(A1, "Done", "Todo") shows status text based on checkbox state. =COUNTIF(A2:A100, TRUE) counts checked items. =SUMIF(A2:A100, TRUE, B2:B100) sums values in column B where the checkbox in column A is checked.

How do I customize what the checkbox represents?

Right-click the cell → Data validation. Change 'Criteria' to Checkbox. Tick 'Use custom cell values' and enter what checked and unchecked should return (e.g., 'Yes' and 'No' instead of TRUE and FALSE). Useful when your formulas or reporting expects specific values.

How do I remove a checkbox in Google Sheets?

Select the cells with checkboxes. Press Delete. The checkboxes disappear and cells become empty. Alternatively, right-click → Data validation → Remove validation rule to keep whatever value is in the cell but remove the checkbox behavior.
