How to Merge Cells in Excel
Excel offers four merge options — Merge & Center, Merge Across, Merge Cells, and the underrated Center Across Selection. Center Across Selection is usually the better choice; it centers text visually without breaking your data.

The four merge options
Click the dropdown arrow next to Merge & Center in the Home tab to see all options:

Method 1: Merge & Center (most common)
Select adjacent cells
Highlight the cells you want to merge. They must be next to each other.
Click Merge & Center
In the Home tab, click Merge & Center in the Alignment group.
Confirm the warning if needed
If more than one cell has data, Excel warns: "Merging cells only keeps the upper-left value." Click OK to proceed (data in other cells is discarded).
When you merge cells with different values, only the top-left value survives. The rest is deleted permanently. If you need to preserve values, concatenate them into one cell first: =A1&" "&B1&" "&C1.
Method 2: Center Across Selection (better alternative)
Center Across Selection visually centers text across multiple columns without actually merging. Your data structure stays intact — sorting, filtering, and PivotTables all still work.
Type your text in the leftmost cell
Enter the text in the first cell of your intended range.
Select the range
Highlight the leftmost cell plus the cells you want the text visually centered over.
Open Format Cells → Alignment
Press Ctrl + 1. Click the Alignment tab.
Choose Center Across Selection
In the Horizontal dropdown, select Center Across Selection. Click OK. The text is now centered visually across the range but each cell remains separate.
Merged cells break Excel functionality in subtle ways: sorts fail, filters return wrong results, PivotTables refuse to build, copy-paste creates errors. Center Across Selection looks identical but keeps every cell separate — everything still works normally.
How to unmerge cells
Select the merged cell
Click on the cell that's currently merged.
Click Merge & Center (it toggles)
Same button acts as unmerge when a merged cell is selected. Or click the dropdown and choose Unmerge Cells.
After unmerging, the value stays in the top-left cell; the other cells become empty.
Why is Merge Cells greyed out?
Common reasons the Merge button is disabled:
- The worksheet is protected. Go to Review → Unprotect Sheet.
- The range is inside a Table. Excel Tables don't support merged cells. Right-click the table, choose Table → Convert to Range, then merge.
- You're in cell edit mode. Press Esc to exit, then try again.
- Multiple sheets are grouped. Right-click any sheet tab and choose Ungroup Sheets.
